BILINGUAL ADMINISTRATIVE ASSISTANT
Principle
Responsibilities:
o Employee Relations Requirements:
o Provide HR support in recruiting at the plant level
o Provide HR support to Managers/Supervisors and employees, explaining procedures and policies in a timely and effective manner.
o Entering data into the database or HR system for maintaining accurate records.
o Providing data for and preparing HR Management information reports and documents.
o Administering all time keeping and reconciliations for staffing agencies and permanent QPSI employees.
o Maintaining and developing the filing system of personnel.
o Coordinating staff events
o Support completion of job application materials and documents, and preparation of employment interviews and tests.
o Personnel Training and Development Requirements:
o Schedule personnel for new employee training, and subsequent assignment of site-based training curricula.
o Coordinate annual cGMP curriculum reviews, OJT and SOP periodic reviews, and trainer qualifications and re-qualifications.
o Assist management with development/maintenance of role-based Training Matrix.
o Audit Departmental Training Matrices to determine compliance and report results to Site Management.
o Enter training records into the site's training database (QCBD) and publish training compliance results.
o Assist management with recording/processing training documentation/forms and submitting to QA.
o Work with QA to maintain/report/generate monthly training metrics.
o Together with QA monitor curriculum and training progress to ensure compliance.
o Business Principles:
o The Department Coordinator shall have an ongoing commitment to conducting QPSI's global business according to the highest legal and ethical standards, and to continually pursue excellence in the development and delivery of all of our products and services.
o Other duties as assigned.
Qualification Requirements: Qualifications/Educational Requirements
o High School Diploma or equivalent, or equivalent combination of education and experience.
o Administrative Experience; Human Resources or Training experience preferred
o Experience with FDA preferred.
o Excellent oral and written communication skills, strong interpersonal skills, and superior organizational abilities.
o Ability to take initiative, maintain confidentiality, meet deadlines, and work in a team environment essential.
o Ability to read, write, and understand English.
o Bi-lingual Spanish preferred.
o PC-based computing experience (Word, Excel, PowerPoint, Axcess). AS400 experience preferred.
